When creating an SMS or email message, you will have the option to utilize the Personalize feature.
By selecting a value from Personalize, you can automatically customize the message to feature detailed information that applies to that specific recipient.
This article will explain what each personalization field does and provide a quick example of each for your convenience.
IMPORTANT NOTE - The Personalize feature will only work if you have the described information available within a recipient's contact card. Double-check that you have the necessary information on file before applying a personalization.
BUSINESS
Business Name
This automatically adds the recipient's business name to the message or subject line.
If we send the above message to Bob's Plumbing, the message will actually read:
"To the acting manager of Bob's Plumbing"
Phone Number
This automatically adds the recipient's business phone number to the message or subject line.
Personalize will pull the phone number from the recipient business's contact card:
"Is your best contact number (555) 555-5555?"
Email Address
This automatically adds the recipient's business email to the message or subject line.
Personalize will pull the email address from the recipient business's contact card:
"We have your business email listed as [email protected]."
Website
This automatically adds the recipient's website URL to the message or subject line.
Personalize will pull the website URL from the recipient business's contact card:
"Is this your website listed at www.bobsplumbing.com?"
Became a Customer On
This automatically adds the date that the customer was added to your Contacts.
Associated People
This automatically adds the primary person contact you have associated with the business.
Associated Deals
This will automatically generate the name of the deal you have associated with this business contact from the Deals app.
Industry
This automatically generates the industry category you have on file for this type of business.
Contact Owner
This automatically lists the name of the team member listed as the contact owner. This can either be you or a sales rep you assigned to the contact.
Last Contacted
This automatically injects the date that you last contacted the business client.
Preferred Language
This will automatically enter the name of the language you have listed as preferred by the client.
Street Address / Building # / City / State / Zip / Country
This automatically adds any address information you have on file for this contact.
Last Activity Date
This will automatically enter the last known date that your team performed any activities within the contact card.
Number of Employees
If this business has a number of employees on file, this field will automatically add that number to your template.
Annual Revenue
This adds the listed annual revenue to the message as dictated by the contact card.
Time Zone
If you listed the time zone that the business is located in, this field will automatically add it to the message.
Description
If the business contact card has a custom description, this field automatically adds it to the template.
Company Type
This automatically adds the listed company type to the message.
Contact Status
This will add the latest contact status to the message (active, unresponsive, etc.).
Social Business Pages
If you listed a URL for LinkedIn, Facebook, Yelp, Twitter, Pinterest, or Instagram, that URL will appear in place of this personalization field.
Tags
Tags are custom creations within the contact card. If you have a preferred tag to use, it will show up in place of the tag selection.
PERSON
First Name
This automatically adds the recipient's first name to the message or subject line.
Personalize will pull the first name as listed on the individual's contact card.
"Greetings, Bob"
Last Name
This automatically adds the recipient's last name to the message or subject line.
Personalize will pull the last name as listed on the individual's contact card.
"Greetings, Mr. Smith"
Name
This automatically adds the recipient's entire name to the message or subject line.
Personalize will pull everything listed in the "Name" field within the recipient's contact card. This can include first name, last name, or both depending on what you have listed.
"In our previous correspondence, we made contact with Bob Smith."
Phone Number
This automatically adds the recipient's phone number to the message or subject line.
Personalize will pull the person's phone number as described within their contact card:
"Is (333) 333-3333 still your best number?
Email Address
This automatically adds the recipient's email to the message or subject line.
Personalize will pull the person's email as described within their contact card:
"Do you still use the following email: [email protected]?"
Website
If the person is associated with a website in the contact card, the URL will appear with this.
Became a Customer On
This automatically adds the date the person made their first purchase.
Associated Businesses
If you associated the person with a business, the business name will appear here.
Associated Deals
If you associated a deal with this person, the deal name will appear here.
Date of Birth
The person's date of birth (mm/dd/yyyy) will appear in place of this field.
Gender
The template will automatically show the contact's preferred gender.
Industry
If you associated the contact with an industry, it will appear instead of this placeholder.
Contact Owner
This will automatically list the team member you have listed as the owner of this person's contact card. This is usually the person primarily responsible for communications with the client.
Last Contacted
This automatically injects the date that you lasted attempted to contact this person.
Preferred Language
If you listed a preferred language that this person likes to use, the name of the language will appear here instead.
Street Address / Building # / City / State / Zip / Country
If you have any address details on file for this person, these fields will automatically show the correct information.
Job Title
This updates the template with the person's job title as described in their contact card.
Last Activity Date
This updates your template to show the last date a team member performed any activities within their contact card.
Contact Status
This updates the template to show the person's current contact status (active, unresponsive, etc.).
Tags
Tags are custom creations within the contact card. If you have a preferred tag associated with this contact, the tag word will automatically appear here.
Business Established
If the person is associated with a business that has an establishment date, the date will appear here.
INSTASITES
Business Name
This automatically adds the business name associated with the InstaSites build.
This automatically adds the email associated with the Instasites build.
Phone
This automatically adds the phone number associated with the InstaSites build.
Street Address / Building #/ City / State / Zip / Country
This automatically adds any address details for the client that's associated with the Instasites build.
Status
This shows the current status of the InstaSite build as it currently stands within our system.
Created
This automatically plugs in the date that the InstaSite was built.
Priority
This automatically adds the current level of priority as described within your My InstaSites table in the InstaSites app.
Created By
This automatically adds the name of the user on your account who built the InstaSite.
InstaSite Preview Link
This automatically adds the preview URL so that the user can visit the InstaSite before purchasing.
INSTAREPORTS
Business Name
This automatically adds the name of the business associated with the InstaReport.
Type
This will display the type of InstaReport you chose to build for the customer.
This automatically adds the client's email associated with the InstaReport.
Phone
This automatically adds the client's phone number associated with the InstaReport.
Street Address / Building # / City / State / Zip / Country
This automatically adds any business address information associated with the InstaReport.
Status
This shows the current status of the InstaReport build as indicated by our system.
Priority
This shows the current priority level of the InstaReport as described within your InstaReports app under My InstaReports.
Created
This automatically adds the date that the InstaReport was built to the message.
Business Website
This will inject the client's business website URL into the message field.
Industry
This will automatically add the business industry associated with the client to the message field.
Created By
This will list the name of the account user that built the InstaReport for this customer.
InstaReport Preview Link
This automatically adds the unique URL that allows the customer to read the full InstaReport.
MY PROFILE
First Name
This automatically adds your first name as listed in your profile settings.
Last Name
This automatically adds your last name as listed in your profile settings.
This automatically adds your email as listed in your profile settings.
Phone
This automatically adds your phone number as listed in your profile settings.
