How to Create a Build InstaReport Automation

Step-By-Step Guide to Creating a Build InstaReport Automation

1. Access Applications Menu:

Hover over the navigation bar to the left of the dashboard and select ‘Deals’.

2. Navigate to the Deal Automations Menu:

In the Deals app, ensure you are on the 'My Deals' tab. Click on the 'Deal Automations' button in the top-right corner.

Note: The Deal Automations feature is a powerful tool that can automate various tasks in your sales pipeline, including sending emails or SMS, building InstaSites, and creating InstaReports.

3. Add Deal Automation:

The current view of your sales pipeline will change to show existing deal automation. If you have not yet created an automation, this page will display a zero at the top of each stage. Click '+ Add Deal Automation' under the appropriate stage. For this guide, we will add this under the 'Build InstaSite' stage.

4. Select Automation Type:

A menu will appear with four available automation types. Select 'Build InstaReport', then click 'Continue' at the top of the page.

5. Choose InstaReport Template:

A list of InstaReport templates will be presented. Choose the one you wish to use, for this guide, we will choose 'Digital Overview'. Once your selection is made, click 'Continue' in the top-right corner of the page.

6. Set up Notifications:

A prompt will appear asking if you would like to include notifications with this automation. You have the option to send an email, SMS, both, or none. For this guide, we will use both email and SMS. Make your selection and then click 'Continue' in the top-right corner of the page.

7. Fill Out Email Form:

An empty email form will appear. Follow the prompts to fill out each field.

  • From - Choose the email address you want to use to send this email.

  • Subject - Enter the subject line for your email as it will appear to the recipient.

  • Message -Here, you input the text you wish to send to your clients. A preview will appear on the right as you enter text, showing what your message will look like to the recipient. Note: There is no character limit for your email.

  • Attachments - To add attachments to your email template, click on the 'Attach' button at the bottom of the message area. This will open a file explorer where you can choose an attachment from anywhere on your computer. Note: The cumulative attachment maximum size is 20MB. The number of files is unlimited as long as it does not exceed this limit.

Note: For the automation to work correctly, you must associate a Business contact record with the deal. This record should include the Business Name, Phone Number, Email Address, City, State, and Industry. Additionally, if you're sending notifications within the same sequence, you should also associate a Person contact record with the deal. This record must have either a phone number or email, as that's the contact information we will use to send the SMS or email notifications.

8. Personalization Options

Use the 'Personalization Options' feature to automatically insert specific client data into your templates. For instance, by selecting 'Business Name' from the 'Business' category, you can automatically add the client's business name to the SMS. Other options for personalization include data from your Contacts, InstaSites, and InstaReports prospects, as well as your own data. Be mindful of your credits and avoid exceeding the character limit accidentally. You can test your message using the field at the end of the form, but be aware this uses SMS credits. When ready, hit 'Continue' on the top-right corner.

9. Set Delays:

The last step provides an option to set a delay for the action. By default, automation happens immediately when a deal card enters the stage. However, you can delay this using the given menu. Inputting values will automatically update the text at the top, showing the delay length. You're also required to provide a reason for the delay in the final field.
