How to Create a Build InstaSite Automation

Step-By-Step Guide to Creating an InstaSite Automation for Your Sales Pipeline

In order to trigger the InstaSite automation correctly, ensure you have a Business contact record associated with the deal. This record should contain the following details: Business Name, Phone Number, Email Address, City, and State, as these are necessary to build an InstaSite. For sending notifications within the same sequence, a Person contact record associated with the deal is required, and this record should have a phone number or email address, which will be used to send the SMS or email.

1. Access Deal Automations Menu:

Navigate to the 'My Deals' tab in the Deals application, then click on the 'Deal Automations' button located in the top-right corner.

2. Initiate a New Deal Automation:

Your current sales pipeline view will now display only existing deal automations, and if you have yet to create any automation, this view will be empty. Determine the most suitable stage for your pipeline to incorporate the Build InstaSite step, and under the selected stage, click on '+ Add Deal Automation'.

3. Set the Automation Type:

A menu will pop up for you to select from four available automations. Click 'Build InstaSite', then click 'Continue' at the top of the page.

4. Select InstaSite Template:

A comprehensive list of over 200 InstaSite templates will appear, catering to a wide range of industries. For this guide, we will target cybersecurity companies, so find that template in the list or use the search bar at the top. Click on the desired template, then click 'Continue' in the top-right corner.

5. Choose Notification Preferences:

You will then be prompted to decide if you wish to include notifications with this automation. Choose to send an email, SMS, both, or neither, based on your preference. For this guide, we'll use both.

6. Compose the Email:

An empty email form will appear with various fields. Fill in each of these fields as follows:

  • From - Select the email address from which the email will be sent.

  • Subject - Write the subject line of your email.

  • Message - Input the main body of your email here. As you type, a preview will appear on the right, showing the email as it will be seen by the recipient. There is no character limit for your email.

  • Attachments - Click on the 'Attach' button located at the bottom of the Message area to add any files you want to attach to the email.

7. Personalize the Email:

Use the 'Personalization Options' feature to automatically insert specific client data into your templates. For instance, by selecting 'Business Name' from the 'Business' category, you can automatically add the client's business name to the email. Other options for personalization include data from your Contacts, InstaSites, and InstaReports prospects, as well as your own data.

Note: If the necessary data is not stored within your contacts or your account, the system won't be able to insert the data. In such a case, placeholders like '{{Business-Business Name}}' will appear in the recipient's email instead of the actual data.

8. Test and Continue:

Use your email credits to test this email using the fields at the bottom of the email form. Click 'Continue' in the top-right corner once you're ready.

9. Compose the SMS:

An empty SMS form will appear with various fields. Fill in each of these fields as follows:

  • From - Select the phone number from which the SMS will be sent.

  • Message - Input the main body of your SMS here. As you type, a preview will appear on the right, showing the SMS as it will be seen by the recipient. Every 160 characters used in the 'Message' field consume 1 credit, and exceeding this limit will consume additional credits.

8. Personalization the SMS:

Use the 'Personalization Options' feature to automatically insert specific client data into your templates. For instance, by selecting 'Business Name' from the 'Business' category, you can automatically add the client's business name to the SMS. Other options for personalization include data from your Contacts, InstaSites, and InstaReports prospects, as well as your own data. Be mindful of your credits and avoid exceeding the character limit accidentally. You can test your message using the field at the end of the form, but be aware this uses SMS credits. When ready, hit 'Continue' on the top-right corner.

9. Set Delays:

The last step provides an option to set a delay for the action. By default, automation happens immediately when a deal card enters the stage. However, you can delay this using the given menu. Inputting values will automatically update the text at the top, showing the delay length. You're also required to provide a reason for the delay in the final field.
