Step-By-Step Guide to Setting Up SMS Automation in Your Sales Pipeline

Setting up SMS automation within your sales pipeline can help mitigate potential human errors and streamline daily tasks, such as sending follow-up emails or reminder text messages. The Deal Automation feature in the Deals application enables you to automate these tasks effectively.

1. Access Deal Automations:

To start with the process, navigate to the 'My Deals' tab within the 'Deals' application. Click on the 'Deal Automations' button located at the top right corner of the page.

2. Add SMS Automation:

Next, your current sales pipeline view will change to show the existing deal automation. In case you haven't set up any automation yet, the page should display a zero count at the top of each stage. Choose the desired stage for your pipeline and click '+ Add Deal Automation' beneath the chosen stage. A menu will appear, select 'SMS' from the given options.

3. Fill the SMS Form:

An empty SMS form will display on your screen with different text entry prompts. Here's a quick breakdown of what you need to input in each field:

  • From - Choose the phone number for sending the SMS.

  • Description - Provide a concise description to help your team understand the content or purpose of the template.

  • Message - Write the text message you want to send to your clients. Note: Every 160 characters in the message field will utilize 1 credit. Any additional characters will consume extra credits.

  • Personalization Options - This feature helps you automatically insert specific client data into your templates. For instance, if you choose 'Business Name' from the 'Business' category, your message field will display 'Hello {{Business-Business Name}}'. The recipient will see their business name instead of this placeholder text.

Note: Be mindful of the available data in your contacts list. If necessary data is missing, the system will not be able to substitute it, and the recipient will receive the placeholder text instead. Also, pay attention to the character count, especially when injecting content, as it may cause you to exceed the character limit inadvertently.

4. Test the Message:

Before proceeding, you can test your message. However, remember that each test will use SMS credits. Once satisfied with the message, click 'Continue' in the top-right corner.

5. Set up Action Delay:

You have an option to delay the automation action. By default, it occurs immediately when a deal card is dropped into the stage. Input the delay duration, update the description field with the reason for the delay, and click 'Continue'.

After finishing this process, you'll be directed back to the initial 'Deal Automations' screen, where you can see your newly created automation under the appropriate step. You can modify it using the ellipsis icon or turn it off temporarily with the ON/OFF toggle.

Using Multiple Automation Steps

Be aware of your delays when adding more than one automation to ensure that you don't accidentally cause actions to overlap. Actions that are triggered by automation cannot be reversed. Therefore, consider the sequence carefully when setting up multiple automation steps.

Note: For SMS automation to function properly, a Person contact record, linked to the deal and having a phone number, is required. The SMS will be sent to the specified number.
