What is a Template?

A template is any document or design that you pre-format for future use. This is useful when collecting information from a variety of prospective clients or customers. Utilizing templates also allows you to take advantage of automated messaging to reach out to your prospects at various stages of the marketing process. Templates can save you time, and money, and make your day-to-day tasks that much easier.

Accessing the Templates App

To utilize the Templates app, simply complete the following steps:

  1. Log in to your account.

  2. In the top right corner, click on the App drawer icon. You can find this between the notification bell and your main account menu.

  3. Click on the “Templates” icon.

Navigating the Templates App

This section will give a brief overview of the various tabs and sections that you’ll find within the Templates application.

All Templates

This is the main application overview and displays all of your current templates along with some qualifying data. This page will always show you the following data:

  • Template Type (SMS or Email)

  • Template Name

  • Description (Brief details describing the template)

  • Date Created

  • Last Modified (Time of the most recent edit)

You can also hover over the Template Name at any time to find that a blue gear icon appears. Clicking this button will reveal a submenu that includes: Preview, Edit, Duplicate, and Delete. You can learn more about these options here.

Your templates will automatically list themselves alphabetically or by the most recent template created. You can select the up and down arrows next to each category to invert the organization formation. For example, selecting the down arrow next to the Template Name category will display your template list in reverse alphabetical order. You can select the arrow next to each category to make browsing your templates easier depending on your needs.

Email

Selecting the Email tab will filter your templates and display your email templates only. This otherwise functions identically to the prior page.

SMS

Selecting the SMS tab will filter your templates and display your SMS templates only. This page otherwise functions identically to the All Templates page.

Search Existing Templates

As you expand your template library, you may need a faster way to sort through your files. You can do this by utilizing the Search Template functionality just above your list of templates. Simply type in the template's name, and the page will begin to autofill with suggestions that match your entry.

Create New Templates

To the right of the search bar, you can find a box with a blue icon that says “+ New Template.” When you click on the button, a dropdown will reveal two new options that say “Email Template” and “SMS Template.” Click on either option to begin the template creation process. Customizing Your Template App View

The Template app provides you with several options to customize your experience. Below, we will walk you through how to take advantage of each.

Table vs Board View

The template app defaults to the standard table view. However, you can swap to a board view at any time by selecting the option near the top of the page. You can change back and forth instantly at any time.

Items per Page

If you are utilizing the Table layout, you can adjust how many templates appear in the list per page by utilizing the option in the bottom right corner. You may display 25, 50, or 100 templates for every page. You can navigate to the next page by clicking the arrow or number at the bottom center.

Additional Personalization Options

In addition to the above options, you can further customize the entire page layout by selecting the Layout button found in between the + New Template and Settings buttons.

When you click the button, a new menu will appear at the top of the page:

You can see the list of all data columns that currently display information within your list on the left. All columns will be present by default, but you can remove these columns by clicking to remove the blue checkmark.

You can also rearrange the order in which these columns appear by hovering over the category on the right. Your cursor should change into a hand, indicating that you can drag and drop the column in whichever order you prefer.

Once you select the format you prefer, be sure to click the blue Save button before exiting the menu.
